Refund Policy

This Refund Policy applies to all payments made to System 3 Net Technologies Pvt. Ltd (CIN: U72900DL2001PTC112522) for managed technology services including S3 SecureMail, Private Cloud, AI Transformation services, and Rack & Stack field services.
S3 SecureMail — Subscription Services
First-month payment: The first month fee collected at sign-up is non-refundable once your domain has been provisioned and your service has been activated. If our team has not yet commenced setup at the time of your cancellation request, we will process a full refund within 7 business days.
Annual subscription fee: If you cancel your annual subscription within 30 days of the annual invoice payment and before migrating any mail to our servers, we will refund the annual payment less the first month's service charge. No refund is available after 30 days of the annual payment or after migration has commenced.
Mid-cycle cancellation: No refunds are issued for partial months or partial annual periods once service has been active. If service is terminated before the end of an annual term due to S3's default or failure to deliver agreed services, a pro-rata refund for the unused period will be issued within 14 business days.
Professional Services (AI, Rack & Stack)
Payments for professional services are subject to the terms in your individual Statement of Work. As a general principle:
- Deposits paid before work commences are refundable if the project is cancelled before work begins, less any administrative or pre-work costs incurred
- Milestone payments are non-refundable once the milestone has been delivered and accepted
- If S3 fails to deliver a committed milestone, the amount attributable to that milestone will be refunded or credited to your account
Duplicate Payments
If you have been charged more than once for the same service due to a technical error, we will refund the duplicate charge in full within 5 business days upon verification. Contact orders@system3.net with your Razorpay payment IDs.
How to Request a Refund
Email orders@system3.net with: your registered email address, Razorpay payment ID, the service you are cancelling, and the reason for the refund request. We will respond within 2 business days and process eligible refunds within 7–14 business days depending on your bank's processing time.

Privacy Policy

System 3 Net Technologies Pvt. Ltd ("S3", "we", "our") is incorporated in India (CIN: U72900DL2001PTC112522), privately held, and wholly Indian-owned. We operate system3.net and provide managed technology services. This Privacy Policy explains how we collect, use, store, and protect personal information in accordance with the Digital Personal Data Protection Act 2023 (DPDP Act) and other applicable Indian laws.
Information we collect
- Contact information provided via our website forms or during service onboarding: name, email address, phone number, company name, and domain name
- Payment information processed through Razorpay: we receive a payment confirmation and order reference but never store your card details — all payment data is handled directly by Razorpay under their PCI-DSS compliance
- Technical service data generated by services we operate on your behalf: server logs, monitoring data, email delivery records
- Communications between you and our team: support emails, call notes
- Website analytics: page visits and referral sources, collected in anonymised form
How we use your information
- To provide, operate, and support the services you have engaged us for

- To respond to enquiries, schedule consultations, and manage your account

- We do not sell your personal data to any third party. We do not use your data for advertising.
Payment data and Razorpay
Payments on our website are processed by Razorpay Software Pvt. Ltd, a PCI-DSS Level 1 certified payment gateway. When you make a payment, you are subject to Razorpay's terms of service and privacy policy in addition to ours. Razorpay may collect and process your card details, UPI ID, net banking credentials, or other payment credentials. S3 does not receive or store this information — we only receive a payment confirmation and the Razorpay order and payment IDs.
Data storage and India-first residency
All personal data collected by S3 is stored on servers physically located in India. We do not transfer personal data outside India without your explicit written consent. All data processing is performed by the S3 team on S3-owned infrastructure, subject exclusively to Indian law.
Data retention
We retain customer data for the duration of the service engagement plus three years for accounting and legal compliance. Payment transaction records are retained for 8 years as required under Indian tax law. You may request deletion of personal data not subject to a legal retention requirement by writing to privacy@system3.net.
Your rights under the DPDP Act 2023

Terms & Conditions

These Terms and Conditions govern all purchases and service engagements with System 3 Net Technologies Pvt. Ltd (CIN: U72900DL2001PTC112522, PAN: AAGCS8224D), having its registered office at 301/96 Nehru Place, New Delhi 110019. By making a payment or using our services, you agree to these terms.
1. Services
S3 provides managed technology services including private email hosting (S3 SecureMail), private cloud infrastructure, AI transformation services, and data centre field services. The specific scope, pricing, and service levels for your engagement are defined in your Order Confirmation and/or Statement of Work.
2. Payment terms
- All prices are in Indian Rupees (INR) and exclusive of GST unless stated otherwise
- GST at 18% is applicable on all services and will be charged in addition to the stated price
- S3 SecureMail subscriptions are billed annually in advance. The first month is collected at sign-up; the balance 11 months are invoiced separately before service activation
- All invoices are payable within 15 days of issue. Overdue accounts attract interest at 18% per annum
- Payments are processed via Razorpay. By making a payment you agree to Razorpay's terms of service
3. GST and taxation
All charges are exclusive of applicable taxes. GST at the prevailing rate (currently 18% for IT services) will be added to all invoices. S3's GSTIN will be stated on each tax invoice. Clients requiring TDS deduction must notify us and provide Form 16A within the statutory timeframe.
4. Service activation
For S3 SecureMail, service is activated after: (a) receipt of first-month payment, (b) receipt of annual invoice payment, and (c) confirmation of your DNS records by our team. Service activation typically occurs within 48 hours of all conditions being satisfied.
5. Acceptable use
- Services must not be used for any unlawful purpose or to transmit content that violates Indian law
- Email services must not be used to send unsolicited commercial messages (spam)
- You are responsible for all users and activity under your account
- Services may not be resold or white-labelled without prior written permission from S3
6. Intellectual property
All software, systems, documentation, and methods deployed by S3 as part of service delivery remain the property of S3 or its licensors. Client data, documents, and email content remain the property of the client at all times.
7. Limitation of liability
S3's maximum aggregate liability for any claim arising under these terms is limited to the total fees paid by you in the 12 months preceding the event giving rise to the claim. S3 is not liable for indirect, consequential, or incidental damages, loss of profits, or loss of data except where caused by gross negligence or wilful misconduct by S3.
8. Termination
Either party may terminate a service with 90 days written notice at the end of the contracted term. S3 may terminate immediately upon material breach by the client, including non-payment after 30 days overdue. Upon termination, S3 will provide reasonable assistance to migrate client data to the client's designated replacement provider.
9. Disputes
In the event of a dispute, the parties will first attempt resolution through good-faith negotiation. If unresolved within 30 days, disputes shall be submitted to the exclusive jurisdiction of the courts of Delhi, India. This agreement is governed by the laws of India.
10. Grievance mechanism
For any complaints regarding our services or these terms, contact our Grievance Officer at legal@system3.net. We will acknowledge your complaint within 48 hours and respond substantively within 7 business days, as required under the Consumer Protection Act 2019.

Delivery & Fulfilment Policy

As required by Razorpay and the Reserve Bank of India's guidelines for online merchants, we provide the following Delivery and Fulfilment Policy for digital services purchased through our website.
Nature of services: All services provided by System 3 Net Technologies Pvt. Ltd are digital and technology-based. There is no physical delivery of goods.
S3 SecureMail — delivery timeline
- Payment confirmation: Immediate — you will receive an email confirmation within minutes of successful payment
- Team contact: Our team will call you within 1 business day to confirm DNS records and migration requirements
- Service activation: Within 48 hours of DNS changes being confirmed and the annual invoice being settled
- Migration completion: 42–48 hours after service activation, depending on mailbox volume
Professional services — delivery timeline
AI Transformation, Private Cloud, and Rack & Stack services are delivered according to the timeline specified in your Statement of Work. The SOW is agreed in writing before any payment is collected for project-based work.
Service not delivered
If S3 is unable to deliver a service within the stated timeline due to reasons within our control, we will notify you promptly, provide a revised delivery timeline, and offer a refund under our Refund Policy if the revised timeline is not acceptable to you.
